Frequently asked questions

How do I view my upcoming shifts?

Open the Clockd app and tap the Rotatab. Your upcoming shifts are displayed in a weekly view. Swipe left or right to navigate between weeks. Each shift shows the date, start and end times, and the department you're assigned to.

How do I request time off?

Go to the Holiday tab and tap Request Time Off. Enter a title (e.g. "Summer Holiday"), select your start and end dates, and optionally add a note. Your manager will receive a notification and can approve or deny your request. You'll be notified when a decision is made.

How do I cancel a holiday request?

Go to the Holiday tab and find your pending request in the list. Tap Cancel to withdraw it. Only pending requests can be cancelled — approved holidays must be discussed with your manager.

How do I clock in and out?

When you arrive at work, open the app and tap Clock In on the home screen, then hold your phone near the NFC tag at your workplace. The app will verify your location and record your clock-in time. Repeat the process with Clock Out when you leave.

How do I swap a shift with a coworker?

Go to the Marketplace tab and tap Offer Shift. Select the shift you want to offer, then choose a coworker to swap with. They'll receive a notification and can accept or decline. Your manager will need to approve the swap before it's confirmed.

How do I record a break?

While clocked in, tap Start Break on the home screen. Select the break type (lunch, rest, or other) and tap confirm. When your break is over, tap End Break to resume your shift.

I'm not receiving push notifications

  • Check that notifications are enabled for Clockd in your device Settings.
  • Make sure you haven't disabled notifications within the app.
  • Try logging out and back in to refresh your notification token.
  • If the issue persists, contact us at onboarding@derrysrota.uk.

How do I reset my password?

On the login screen, tap Forgot Passwordand enter your email address. We'll send you a link to reset your password. The link expires after 15 minutes.

What data does Clockd store about me?

We store only what's needed to run the service — your name, email, shift assignments, clock-in records, holiday requests, and push notification token. We do not track your GPS location, use advertising SDKs, or share your data with third parties. For full details, see our Privacy Policy.

For managers

How do I approve or deny holiday requests?

Sign in to the dashboard and navigate to Holidays. Pending requests appear at the top of the list. Click Approve or Deny on any request. The employee will receive a push notification with your decision.

How do I build a rota?

Sign in to the dashboard and go to Rota. Select the week you want to schedule, then click on any empty cell to assign a shift. You can set the department, start/end times, and assign an employee. Use Templates to save and reuse weekly schedules.

How do I manage staff?

Go to Staff in the dashboard to view all team members. You can invite new employees by email, edit roles (Manager or Employee), and remove staff who have left.
